Hire and Usage of The Warrnambool Surf Life Saving Club Inc Hall and Committee Room

 

Purpose

  • To outline the requirements for use of the Warrnambool Surf Life Saving Club Inc. Hall and Committee Room by both current members and the general public

Scope

  • All current members of the Warrnambool Surf Life Saving Club Inc. and organisations and individuals of the local community.

Policy

  • All applications for usage of the hall/committee room must be made through the Warrnambool Surf Life Saving Club Secretary/designated Board of Management Representative.
  • All persons making application to use the hall/committee room must be over 18 years or over.
  • Priority will be given to current/financial Warrnambool Surf Life Saving Club members.
  • The hall/committee room will be made available for functions that are deemed suitable by the Secretary /designated Board of Management representative e.g. conferences, 21st birthdays (at the discretion of the Sectretary/designated Board of Managment representative), engagement parties, club social functions, weddings,  meetings for ‘outside’ organisations.
  • The hall/committee room will not be made available for functions/meetings where there is a risk of under age drinking, lack of supervision, or any perceived negative repercussions on the Warrnambool Surf Life Saving Club. 
  • The Secretary/designated Board of Management representative will consult with the Club President and/or Vice President should a situation arise that may require clarification or verification. 
  • The Secretary/ designated board of Management representative must consult where deemed necessary with the leasee of the restaurant  to ensure the function in the Warrnambool Surf Life Saving Club hall/committee room does not impede on the day to day running of the business of the leasee. 
  • The Secretary /designated Board of Managmement representative must ensure that the guidelines set out in the Warrnambool Surf Life Saving Club Liquor Licence are adhered to at all times.  The holder of Warrnambool Surf Life Saving Club’s Liquor Licence must be consulted and appropriate document completed.
  • A Guests Book will be made available in accordance with our Liquor Licence at appropriate functions.  WSLSC Restricted Liqour Licence allows WSLSC to supply liquur to a member or guest of a member for consumption on the licenced premises -  'take aways' are not permitted. 
  • The Secretary /designated Board of Managment representative will keep a diary entry of all requests for bookings and confirmation of same. 
  • The Secretary/designated Board of Managment representative will report all bookings at each monthly meeting of the Board of Management. 
  • The Secretary/designated Board of Managment representative is required to liaise with the club caretaker re bookings to ensure that the hall/committee room is clean and that the premises will be open at the requested time.
  • The Treasurer is to invoice and receipt all monies received as a result of hiring the hall/committee room.
  • The Board of Management at its first meeting after the Annual General Meeting must address the ‘hiring’ fee for the hall/committee room.  The Board will allow for some discretion by the Secretary /designated Board of Managment representative re hiring fees in their considerations.
